DOTS Tool Outage Update:: 09/20/2022
The DOTS team has resolved the cluster issues causing the recent outage. The majority of tools are back online and returned to original state. Please, let us know if you experience any unintended behavior or if you are still experiencing issues with any of the tools.

The DOTS team is aware of the outage related to Jenkins, Pagerduty, and Codacy. As we work to remediate this issue as quickly as possible, we encourage everyone to stay tuned to slack, teams and/or the DOTS Announcement page for updates regarding this incident.

Offboarding Form 8/12/2022
Hello DOTS Friends,
Thanks for being a valued member of the DOTS Enclave. We are happy to announce that there is now a generic offboarding form in our service desk. This form can be used to request removal from all tools in the DOTS Enclave such as Jira, Slack, DataDog and Zoom, to name a few. Please feel free to use this form going forward as you perform user audits for your team or need to offboard someone who has rolled off the project. Below is a link directly to the form.

Jira Communication 7/7/2022
Hello Avid Jira User,
Thank you very much for your continued use and support of the VA Jira instance. We are impressed at the amount and level of complexity observed in the usage of this tool and it’s components.
As noted on the Jira banner, there is a current and unresolved issue occurring in the VA Jira system. The DOTS Team has confirmed with Atlassian that there is a known product issue with Atlassian Server instances. Some of you may have experienced trouble with Jira components. Atlassian has an active item in their backlog to implement a resolution (JRASEVER-15750).
Pending the resolution from Atlassian, as an interim measure, the DOTS Team is going to perform system maintenance which will require application downtime for VA Jira. To ensure little to no disruption to the teams and users of the system, this downtime is scheduled for Friday July 8th after 9pm EST and expected to remain down through Saturday the 9th at 9pm EST. Please plan accordingly to ensure that work is not lost.

Attachment to VA Jira Communication Detail Information for the Jira Component Issue
Summary: Components are not behaving as intended
Problem: JQL (Jira Query Language) queries for issues return a list of items showing components that are not accessible/visible in the item view screen
Analysis:

There is a known defect / race condition where the deletion/removal of components from a project will not clear the indices of issues associated with the removed component prior to the component itself is removed. (https://jira.atlassian.com/browse/JRASERVER-15750)

The “correct” view is that a removed component should remove all entries in the system (database and lucene) such that issues jql issue lists do not show a false/non-existent component for items.

The # of issue that show removed components is potentially up to 300k items. (Potentially as it’s only visible if the user happens to have components as one of the several columns in the issue list view – this is not a standard view
Impact: Low – Not all issues and/or users are impacted
Severity: Moderate – This hinders key functions of Jira Software including querying of items in the system.
Max.gov Update 6/2022
The DevOps Tools Suite Team (DOTS) would like to provide additional information on upcoming changes and our roadmap.
As many have heard, Max.gov hosting of Jira and Confluence will be discontinued in December 2023. DOTS has been actively engaged with OMB and the Max team to ensure that we have a plan that allows for continued use of Jira and Confluence at the VA. The team is actively working on a migration plan from Max.gov Jira Server to VA Jira Datacenter, beginning in 2022.
DOTS has developed a migration plan that includes moving data from Max’s Jira and Confluence space into DOTS AWS space in the VA Enterprise Cloud (VAEC). When the migration is completed, DOTS will be facilitating authentication, hosting, and support for all Atlassian products in the DOTS Enclave.
The DOTS team would like to reassure VA Jira end users that we are working diligently to ensure there is little to no interruption to teams working in Jira and/or Confluence. Our goal is to have the migration completed by mid-2023 to ensure that we have enough time to adjust based on impediments that arise during the migration process.

- March 2022: ENGAGED WITH – Max/OMB to solution and plan next steps
- April 2022: POC DC – Proof of Concept VA’s Jira Data Center in VAEC AWS
- June 2022: COMMUNICATIONS TO END USERS – Delivered in June 2022 to communicate migration plan
- July 2022: BETA DATACENTER – Datacenter instance stood up in VAEC AWS
- October 2022: BETA TEAMS MIGRATED – Initial teams migrating to the Datacenter instance
- December 2022: EXPAND MIGRATION – Additional VA projects migrated to VA’s Jira Data Center in VAEC AWS
- May 2023: EXPECTED COMPLETION – All VA projects migrated from Max.gov’s Jira and Confluence
- December 2023: MAX DEPRECIATION – Scheduled/Proposed Max closure
